Cancellation Policies

Cooling Off Period

A 7-day cooling-off period applies from the date the booking confirmation email is sent, confirming that the booking is complete. You can cancel the booking during this period by emailing the site team. The cooling-off period applies only if the resident has not already collected the keys. No charges will apply, and the deposit or any Advance Rent Payments made will be returned.

No Visa No Pay

Students who are unsuccessful in obtaining a required visa to study at their chosen university may be released from their booking and tenancy obligations. Written evidence of the visa outcome must be provided within 5 days of receiving it. The cancellation request must be formally accepted. The Holding Deposit will be refunded in accordance with the refunds policy upon acceptance.

No Place No Pay

Students who are unsuccessful in gaining a place at their chosen university due to failure to obtain the required grades may be released from their booking and tenancy obligations. Written evidence of the relevant university outcome must be provided within 5 days of receiving it. The cancellation request must be formally accepted. The Holding Deposit will be refunded in accordance with the refunds policy upon acceptance.

Replacement Tenant Accepted

A replacement tenant may be found to take over the tenancy obligations, subject to approval under the tenancy assignment policy. After the 7-day cooling-off period, cancellation may be possible if a suitable replacement tenant is found and accepted.

Extenuating Circumstances

After the tenancy start date or key collection, termination is permitted only where the student no longer continues to be a student at their chosen university due to: A medical condition that was not known at the time the tenancy commenced. A family bereavement or circumstance that was not reasonably known at the time the tenancy commenced. The booking may be cancelled if the resident fails to complete the booking within the applicable Booking Deadline. The Booking Deadline is 7 days after the commencement of the booking. Delayed Arrivals & travel restrictions

If you are unable to travel due to government-imposed travel restrictions, please contact the Amber team with the relevant supporting documentation. We will facilitate the request to review your circumstances and explore the possibility of cancellation/contract amendment. Requests are considered individually, and any outcome will depend on the property's review and applicable booking terms.

University Course Cancellation/Modification

If your course has been cancelled by your university, please reach out to the Amber team with the relevant supporting documentation. We will liaise with the property team to review your request on a case-by-case basis for cancellation. The resolution will be subject to the property's assessment and the terms of your booking.

Deferring Studies

If you have deferred your studies, please contact the Amber team and share your updated university documentation. We will notify the property team to review your request for cancellation/contract amendment. Requests are assessed individually, and the final outcome will be subject to the property's review and booking terms.

Smoking

Smoking is not permitted inside the building. Smoking is allowed only outside in designated areas, where permitted by property rules and local regulations.

Guest policy

Guests may stay with you where permitted by the property. Always notify the property 1 to 2 weeks in advance to complete the required formalities.

Minimum age

You must be 18 years or older on your move-in date to stay at this property. Please ensure you meet the age requirement before booking. In case you do not meet the minimum age requirement, inform the Amber team while enquiring with us, and we can suggest you accordingly.

Student eligibility

This accommodation is exclusively available to students. Non-students are not eligible to stay at the property.

Payment and Fees

Booking Deposit

A Holding Deposit is required to book a room and will not exceed 1 week's rent. The Holding Deposit is credited towards the first rental payment upon check-in.

Pay In Instalment

Students can choose to pay in 1, 3, or 10 instalments. A UK guarantor is required for instalment payments.

Mode Of Payment

Payments can be made online through the resident portal. Students can request the property's bank details if they wish to make a bank transfer.

Guarantor Requirement

Only UK guarantors are accepted. The guarantor must be an adult and a UK resident. The guarantor must be able to provide ID proof and proof of residence.

Can I have guests?

Of course! Guests are welcome; however, you may have one overnight guest for no more than three consecutive nights. You must ensure your guest also follows our community guidelines.

Your room will be a blank canvas, ready for you to make it your own.

How do I make a complaint?

If you’re a current resident, the quickest and easiest way to resolve an issue is to speak to a member of the site team at reception. Many concerns can be resolved there and then, and their team will always do their best to help. If your issue can’t be resolved immediately, or you’d prefer to raise it formally, you can submit a complaint by email to the General Manager. Your complaint will be reviewed and investigated in line with our complaints process.
